The primary function of this position is to maintain an accurate and fluid inventory of all items/materials temporarily stored in our on-site storage space and perform a variety of administrative tasks. Serves as the primary back-up to the Customer Service Print and Inventory Technicians.
DUTIES:
- Responsible for the management of the short-term onsite storage space, and the inventory therein. This includes but isn’t limited to receiving and logging incoming departments boxes and materials, assigning the box storage location and entering it into the online system.
- Accurately pulling and delivering boxes from onsite storage area when requested and checking them out in the system.
- Responsible for maintaining the items in the onsite storage area in an organized and safe manner ensuring no aisles are blocked, all department’s items are stored together, and that Administration’s items are inventoried and accessible.
- Responsible for labeling the shelving units in an organized manner that all staff will be able to understand and access.
- Responsible for setting up and maintaining online box inventory and location system.
- Communicates directly with personnel from each department regarding their inventory and makes recommendations on where the item should be stored. Coordinates the transfer of on-site storage items to off-site storage.
- Manages the electronic database to ensure all content is up to date and accurate. All data should be accurately recorded within eight hours of being received or discharged.
- Serves as a primary back-up to the Customer Service Print and Inventory Technicians. Process incoming copy requests, review incoming work for clarity, manipulate the document if needed and determine the most efficient and cost-effective method of production. Communicates with requestors regarding job specifications, deadlines and reproduction alternatives.
- Serves as back-up to set up and train staff on how to use the boardroom Zoom system, troubleshooting and reporting operational issues and concerns to management.
- May perform other back-up duties in a variety of the Administration department’s functions to include, switchboard duty, guard desk, mail room, deliveries, inventory, stocking, prepare packages/boxes for shipping, conference room setups and breakdowns, and office moves.
- Operate various pieces of equipment which include but are not limited to folding machines, 3-hole drill, signature machine, binding machine, and US mail machine.
- May be required to perform other related duties as assigned.
REQUIREMENTS:
Education & Experience:
High school graduate or equivalent and a minimum of three (3) years of work experience in customer service or inventory control; or any equivalent combination of education and experience which provides the following knowledge, skills, and abilities.
Skills:
- Proficient knowledge of the MS Office Suite to include – Word, Excel, Outlook, Calendar, and MS SharePoint.
- Effective communication skills to exchange routine information.
- Must have and maintain a working knowledge of inventory management software and inventory forecasting techniques.
- Strong organizational and logistics skills.
- Strong analytical and problem-solving skills.
- Strong written skills and excellent oral communication to provide accurate, timely and technical information to vendors and customers verbally and via email. The ability to understand and answer technical questions.
- Strong customer service skills and attitude.
- Experience with inventory management and database programs used to track deliveries, shipments, etc.
- Strong organizational and logistics skills.
- Strong analytical and problem-solving skills.
- Experience with mailroom operations desired.
- A valid driver’s license, travel and overtime are required.
