The Team

CZI supports the science and technology that will make it possible to cure, prevent, or manage all diseases by the end of this century. While this may seem like an audacious goal, in the last 100 years, biomedical science has made tremendous strides in understanding biological systems, advancing human health, and treating disease.

We build open-source software tools to accelerate science and generate more accurate and biologically important sources of data. We fund scientific research worldwide to advance the frontiers of knowledge. And we launched a family of institutes to do research that can’t be done in conventional environments. Each aspect is essential to our approach to building for the long term.

CZI’s work in science includes grantmaking programs, open-source software development, and close collaboration with its partner institutes at the Chan Zuckerberg Biohub Network. The CZ Biohub Network includes the San Francisco, Chicago, and New York Biohubs as well as the Chan Zuckerberg Imaging Institute. CZI also collaborates with institutional partners like the Kempner Institute for the Study of Natural & Artificial Intelligence at Harvard University. Join us in accelerating science.

The Opportunity

As an Executive Assitant on the team, you will be a trusted partner to our Head of Science, providing high-level support and ensuring smooth execution of their priorities across multiple time zones and entities. This includes managing their global calendar, anticipating needs, and navigating a demanding schedule. You'll independently manage the logistics of events and projects, ensuring smooth execution of staff retreats and board meetings.

As a key liaison to the Leadership Team, you'll foster communication and collaboration. Your initiative and problem-solving skills will be essential in supporting the Head of Science's interactions with top researchers, technology leaders, and grant makers. Ultimately, your work will contribute to our mission of curing, preventing, and managing diseases.

What You'll Do

  • Manage the Head of Science's complex and dynamic calendar, prioritizing appointments, meetings, and travel arrangements in multiple time zones. Ensure timely communication and confirmations with internal and external stakeholders.
  • Manage an extensive array of administrative tasks for the Head of Science that require you to organize logistics in advance and with last-minute changes.
  • Serve as the first point of contact for the Head of Science, effectively screening calls, emails, and inquiries.
  • Draft and edit high-quality presentations, correspondence, documents, and widespread communications, ensuring accuracy and clarity.
  • Works on frequent and diverse projects and problems requiring judgment and discretion for obtaining solutions within generally defined practices and policies.
  • Maintain strict confidentiality regarding all sensitive information related to the Head of Science work and the company.
  • Independently manage logistics for events/projects including staff retreats, board meetings (venue contracts, reimbursements, etc.)
  • Coordinate and facilitate effectively across multiple organizations and individual types, from prominent scientists and business leaders to students and local logistics operations.

What You'll Bring

  • 5+ years experience as an administrative or executive assistant, with a strong preference for experience in the bioscience field.
  • Exceptional organizational and time management skills, with the ability to prioritize effectively in a fast-paced environment.
  • Excellent communication and interpersonal skills, with the ability to interact professionally with all levels of staff, both internally and externally.
  • Executive decision making skills with little input/feedback and sound judgment.
  • Experience thriving in an ambiguous environment and can manage multiple priorities simultaneously.
  • Strong attention to detail and a commitment to accuracy.
  • Discretion and the ability to maintain confidentiality.
  • Ability to react positively and quickly to last-minute changes in logistics or needs.
  • Experience with organizations undergoing significant change and the ability to manage through change successfully.
  • Advanced technology proficiency; confident communicating virtually and learning new office tools. Experience with Google Applications, Slack, Microsoft Office, and Salesforce is a plus.

Compensation

The Redwood City, CA base pay range for this role is $118,000 - $177,000. New hires are typically hired into the lower portion of the range, enabling employee growth in the range over time. Actual placement in range is based on job-related skills and experience, as evaluated throughout the interview process. Pay ranges outside Redwood City are adjusted based on cost of labor in each respective geographical market.
