Job Code/Role: Executive Support

Reports to: Chief of Staff and Deputy Executive Director for Public Policy and Research

Salary: $60,000

Location: Washington, D.C.

Position Objective:

The Scheduler and Special Assistant (SSA) provides logistical, administrative, and strategic support to the Executive Team. In addition to supporting the Executive team, the EA also provides support to GLSEN’s Board of Directors and other national volunteer leadership and is responsible for the maintenance of records and files related to the Board of Directors. This role is the conduit of information to and from the Executive team and with organizational partners, funders, and volunteer leadership. The SSA also provides administrative support to selected projects and functions across the organization, including internal and external communications.

Duties and Responsibilities:

Executive Support to the COS/DED and Executive Team

  • Manage and direct the Chief of Staff and Deputy Executive Director for Public Policy and Research’s (COS/DED) schedule
  • Coordinate and manage the arrangements for internal and external meetings, including talking points
  • Prepare, create, and proof all presentations, both internal and external
  • Draft prepare and copy edit internal and external communications
  • Arrange travel and reconcile credit card expenses
  • Field and manage communication and scheduling with key GLSEN stakeholders, including funders, Board members, Chapter leaders, and organizational partners
  • Support tracking and reporting of Department work-plans and organizational strategic plan
  • Provide administrative support to the Executive Team Manage confidential information and maintain strict confidentiality

GLSEN Board Support

  • In partnership with the COS/DED and Executive Assistant, support smooth functioning of Board leadership and committees, including scheduling, record-keeping, and follow-up communications for Board governance functions
  • Manage logistics, coordinate, and schedule in-person and virtual board meetings including travel and technical support
  • Work with leadership team to create, prepare, edit and produce presentations and other material for board meetings
  • Maintain records and take minutes of board meetings
  • Maintain updated Board records and ensure that all Board files are complete
  • Manage confidential information and maintain strict confidentiality

Administrative and project support to the organization

  • Assist GLSEN Departments with on-going processes and projects as assigned
  • Manage intake from general GLSEN inboxes and voicemail, assuring that the organization is appropriately responsive to external inquiries

Required Skills:

  • Experience supporting high level executives
  • Demonstrated ability to manage sensitive information confidentially
  • Strong copy editing and presentation skills
  • Strong interpersonal skills
  • Ability to prioritize many competing tasks
  • Detail-oriented
  • Strong PC-based computer skills in Outlook, PowerPoint, Excel and Word
  • Proficiency in Raiser’s Edge, HTML, and CRM/CMS experience a plus
  • Ability to work occasional weekends and evenings
  • Ability to work in a fast-paced, productive, team-oriented environment
  • An understanding of and commitment to GLSEN’s mission
  • Well organized with the ability to work well under pressure and manage multiple tasks with tight deadlines

Education:

  • BA/BS in related field or related experience

Work Environment and Physical Requirements:

This position primarily works in an office-setting. Some travel may be required.

  • This is a hybrid position working remotely but also able to work from our DC office as directed by their supervisor
  • Ability to sit for eight (8) or more hours with breaks
  • This is a sedentary position, with standing desks available
  • Must be able to comply with the physical demands of travel
  • This position demands extensive keyboarding, visual acuity required
  • Occasionally asked to lift 25+ pounds
