Who You Are

ASJ is committed to providing the highest-quality service to its stakeholders, maintaining a welcoming and organized office, and providing support to a fast-paced team. The Office Associate serves in a support role to our organization at large, managing the front desk at the Oakland headquarters office and attending to organization-wide needs, including, but not limited to, office usage, resource and supply management, operations requests, security and mail processing. The successful candidate is experienced in their ability to manage all aspects of office maintenance, create systems to deliver effective office management, and take initiative to proactively monitor, evaluate, and improve them. The individual who fills this role will be expected to work out of ASJ’s Oakland office. This position will work in close collaboration with the Operations Program Manager, Director of People Operations, key Ops staff, and have the opportunity to interface with staff and partners from across the organization.

What You’ll Do

  • Keep the office clean, organized, and secure in coordination with building management and ASJ’s security vendor, Bay Alarm
  • Develop an organized system for excess supplies within the office, storage areas, and ASJ’s extra basement storage space
  • Assess the layout of the office to identify improvements to the structure and zones
  • Refine ASJ’s mail management process, including checking, scanning and directing mail\
  • Respond to requests from ASJ’s subtenant, which may include maintenance, keys, etc
  • Provide on-site support for in-person meetings as requested, including catering, prep of rooms, and clean up
  • Respond to shipping requests and help to prepare, send out, and/or receive packages as directed
  • Manage the conference room reservations and coordinate with local and remote staff accordingly
  • Develop a filing system for core departments in collaboration with key staff
  • Other projects as identified
Requirements

Skills & Experience

  • 3-5 years of experience managing facilities/an office setting; knows your way around a work space, what it needs, and what to look for (preferably working in an administrative or operational capacity)
  • Experience working with subtenants using the on-site location; admin/ops experience is ideal -
  • Strong project management skills, including strong organization, time management, and use of tools
  • Strong interpersonal skills, including verbal and written communication
  • Use of productivity tools, including Google Workspace, microsoft office, Asana or Slack
  • Tech savvy; comfortable with IT basic knowledge, trouble shooting
  • Experience coordinating with vendors to support office maintenance and management
  • Experience developing systems and process to improve efficiency, tracking, and collaboration

Compensation

Hourly rate commensurate with experience. This is a non-exempt position that can work between 20-32 hours per week.
