This position will work in a nonprofit fund accounting environment, managing revenue and expense for all individual gifts. Institutional giving is managed by the Institutional Giving team.

Position Summary: Provides general office support to staff with a variety of clerical activities and related tasks. Responsible for answering incoming calls, directing calls to appropriate staff, mail distribution, supervising front reception area by greeting visitors and always maintaining professional composure throughout interactions with fellow staff and participants. Maintains a professional and welcoming environment in the reception area for the entire office.

Direct Supervisor: Manager of Operations and Admin

Duties and Responsibilities:

  • Responsible for building access for all guests, visitors and participants utilizing Open Path app and door system.
  • Responsible for CCA office access for all guests, visitors and participants utilizing AI Phone system at front reception desk
  • Greeting, welcoming, and directing visitors with a positive, helpful attitude
  • Informing other employees of visitors’ arrival
  • Answering phones in a professional manner and routing calls as necessary
  • Maintaining emergency contact list for Syracuse Office Staff
  • Maintaining various logs at the front desk
  • Assisting colleagues with administrative tasks
  • Maintaining cleanliness of front desk and main entrance
  • Distributing mail and packages to all departments, outgoing and incoming daily mail

Qualifications:

  • Business degree or equivalent practical experience
  • Competency in Microsoft 365 applications
  • Experience with administrative and clerical procedures
  • Good customer service skills
  • Essential telephone etiquette knowledge
  • Ability to communicate effectively, both orally and in writing
  • Ability to type 30-40 words per minute
  • Ability to operate office equipment: fax, copier, scanner, printer, telephone
  • Ability to multitask
  • Ability to maintain integrity and confidentiality at all times
  • Ability to relate with respect to persons from diverse ethnic, social-cultural, lifestyle, and educational backgrounds
  • Ability to work well with a team, helping staff with various tasks as required
  • Ability to remain calm in a busy office environment
