We are seeking a Media Finance Coordinator to support the day-to-day financial tracking and stewardship of pass-through media dollars across a portfolio of retail media and integrated media campaigns.
This is a highly detail-oriented coordination role focused on insertion order (IO) tracking, vendor billing, project data entry, and budget reconciliation. The ideal candidate is exceptionally organized, systems-minded, and comfortable navigating multiple tools and timelines.
Reporting to the Director of Finance, the Media Finance Coordinator plays a critical role in ensuring media investments are accurately recorded, reconciled, and processed—supporting operational excellence for both internal teams and clients.

Responsibilities
Financial Tracking & Budget Management
- Track and manage insertion orders (IOs), ensuring accurate documentation and alignment with approved media budgets.
- Assist with budget tracking and reconciliations across multiple clients and campaigns.
Project & Data Management
- Maintain accurate and up-to-date records in project management and financial tracking systems.
- Enter and manage media billing data, vendor invoices, and spend documentation.
- Coordinate with internal media and finance teams to ensure timely, accurate recordkeeping.
Reconciliation & Reporting
- Support monthly media spend reconciliations, verifying alignment between planned budgets, actual spend, and vendor invoices and credit card charges.
- Assist in compiling financial reports and dashboards, ensuring visibility into media spend trends.
- Contribute to internal audits and documentation for quarterly and annual financial reviews.
Cross-Functional Collaboration
- Partner with media planners, account managers, and finance colleagues to streamline campaign billing workflows.
- Help build and maintain standardized documentation and templates for financial tracking and reconciliation.
Requirements
- 2-4 years of experience in finance, accounting, or business operations, preferably within media, advertising, or marketing services.
- Familiarity with budget tracking, vendor billing, or financial coordination workflows.
- Proficiency in Excel and Google Sheets; experience with financial platforms or media billing tools is a plus.
- Exceptional attention to detail, accuracy, and follow-through.
- Strong organizational and time management skills with the ability to manage multiple projects and deadlines.
- Clear communicator who can collaborate effectively with internal teams.
- Bachelor’s degree in Finance, Accounting, Business, Marketing, or a related field.
