We are seeking a Staff Accountant – Media Finance to manage the day-to-day accounting and financial operations tied to pass-through media spend and client billing. This role is essential in maintaining accurate records, processing vendor and client transactions, and supporting financial reporting across a portfolio of retail media and integrated media campaigns.
This is a hands-on, detail-oriented role that requires strong accounting fundamentals, comfort with tools like QuickBooks Online and Bill.com, and the ability to collaborate with cross-functional teams. The ideal candidate is highly organized, systems-savvy, and able to manage recurring financial workflows with accuracy and accountability.
Reporting to the Finance Lead, the Staff Accountant – Media Finance plays a key role in ensuring timely invoicing, proper reconciliation, and clean financial records, supporting internal operations and client confidence as the company scales.

ResponsibilitiesFinancial Tracking & Budget Management
- Track and manage insertion orders (IOs) and purchase orders (POs), ensuring accurate documentation and alignment with approved client media budgets
- Maintain and update media campaign budgets, flagging variances between planned and actual spend
- Support the monthly accrual process for both media costs and operational expenses
- Assist in ongoing budget vs. actual analysis across client and internal cost centers
Project & Data Management
- Prepare and issue accurate client invoices based on actualized media spend, fee structures, and supporting documentation
- Track invoicing status and coordinate with client teams to ensure timely delivery and resolution of billing questions
- Enter vendor invoices, employee reimbursements, and credit card transactions into QuickBooks Online and Bill.com
- Maintain accurate records for IOs, vendor payments, receivables, and client billing trackers
- Organize and maintain supporting documentation for financial transactions (contracts, POs, SOWs, invoice PDFs)
- Collaborate with clients teams to ensure billing templates and project financial trackers are up to date
Reconciliation & Reporting
- Monitor accounts payable and accounts receivable activity in QuickBooks Online; ensure proper coding, aging accuracy, and timely resolution of outstanding balances
- Support cash application and collections efforts by reconciling incoming payments and following up on overdue receivables
- Prepare monthly bank reconciliations across multiple business and money market accounts
- Perform AR and AP subledger reconciliations; identify and resolve variances with the general ledger
- Record journal entries related to accruals, reclasses, and corrections as part of the month-end close
- Create and maintain media billing reports for internal stakeholders and client reporting
Cross-Functional Collaboration
- Partner with account, media, and operations teams to streamline media billing and reconciliation workflows
- Coordinate with vendors to resolve invoice issues and ensure accurate, timely payment processing
- Communicate with clients' finance teams on payment status or billing questions
- Assist the Finance Lead in standardizing accounting processes and improving documentation across platforms and systems
- 2 - 4 years of experience in a media, advertising, or project-based services company strongly preferred
- Familiarity with media billing workflows, IOs, and client pass-through invoicing is a plus
- Proficient in QuickBooks Online for managing transactions, general ledger, and invoicing
- Experience with Bill.com or similar AP automation/payment platforms
- Advanced skills in Excel and Google Sheets, including pivot tables, VLOOKUPs, and reconciliations
- Bachelor’s degree in Accounting or Finance required
- Exceptional attention to detail, organization, and follow-through
- Ability to prioritize and manage multiple deadlines in a fast-paced, cross-functional environment
- Comfortable working independently and remotely, with a proactive, solution-oriented mindset
