The Operations Executive Associate is a high-level administrative position that works closely with the COO, Deputy Chief Executive Officer, and the Operations Team to help execute the organization’s operational goals. This position will primarily work with leadership on scheduling, project management, report creation, and communication with both internal and external stakeholders so that DNC leadership is focused on tasks that service key operational priorities for the organization.

Responsibilities:

  • Provides administrative assistance in the implementation of activities and responsibilities of the Operations Department and its leadership.
  • Manages the daily evolving calendar, keeping appointments and meetings on time or changing schedules when necessary.
  • Develops and maintains a system that alerts to upcoming deadlines on incoming requests or events.
  • Manages travel arrangements and proactively coordinates the pre-planning of trips with various internal functions, including arranging appropriate travel, visas, hotels, transportation, meeting agendas and necessary contacts, as well as other information.
  • Works closely with the contracts team to keep open lines of communication with leadership, and manage deadlines and priorities of the team.
  • Works closely with staff to ensure timely provision materials relevant to meetings.
  • Ensures that various administrative tasks are performed in an effective and efficient manner, including copying, reviewing mail, drafting correspondence, screening telephone calls as needed, and maintaining files as needed.
  • Prepares presentations and materials for events, both internal and external.
  • Disseminates written communication to proper departments for follow-up.
  • Fields meeting and engagement requests from internal and external entities to ensure alignment with leadership and DNC priorities.
  • Acts as host and coordinates with Special Projects, leadership, Biden for President and VIP teams for DNC HQ meeting needs.
  • Jumps in on day to day operational needs at DNC HQ and performs other duties as assigned to support the department and the DNC's mission.

Skills:

  • Meticulous attention to detail and clear written and verbal communication style; thoroughness, and timeliness;
  • Proficiency in Google Suite;
  • Proven ability to organize and manage multiple priorities and deadlines;
  • Strong interpersonal skills with ability to work effectively with employees at all levels and workstyles;
  • Enjoys a fast paced working environment, works well under pressure, and understands the sense of urgency;
  • Flexibility in shifting priorities on a day-to-day basis, as well as an hour-by-hour basis;
  • Self-motivator with a proactive approach to traditional and unexpected assignments;
  • Operates as a team player with the mindset that it is important to offer help to team members on pressing priority projects;
  • Flexibility and recognition that winning campaigns often means working outside of traditional office hours;
  • Demonstrated ability to handle confidential information appropriately, model professional conduct, and exhibit discretion at all times;

Qualifications:

  • Undergraduate degree or equivalent work experience, with a minimum of 2 years of experience directly supporting Senior Leadership, Executive Management, or C-Suite in a similar role;
  • Excellent written and verbal communications skills;
  • Demonstrated commitment to Democratic initiatives and knowledge of the Democratic ecosystem strongly preferred;
  • Prior experience working with a contracts/legal team preferred;
The Operations Executive Associate position will require travel, which could be up to 15% of the time. The starting salary for the Operations Associate position is $51,000, on an annualized basis, commensurate with experience and qualifications.
This is a full-time, non-exempt position, which means you will be eligible for overtime pay for hours worked in excess of 40 in a given workweek, and has an end date of November 15, 2024. This position is in the bargaining unit represented by SEIU Local-500.
