The Opportunity: The Finance Assistant is the essential engine room of our fundraising operation. In this entry-level role, you will be the "right hand" to both the Finance Director and the Call Time Manager, ensuring that our ambitious fundraising goals translate into executed reality. This is a role for an energetic, detail-obsessed operator who is eager to learn the mechanics of political fundraising from the ground up. You will manage data, support high-stakes events, conduct donor research, and supervise interns, all while working in a collaborative, fast-paced team environment.

Job Responsibilities:

Fundraising Operations & Research:

  • Support the Call Time Manager by conducting deep-dive research on prospective donors and preparing accurate "Call Sheets" for leadership.
  • Maintain the integrity of the fundraising database (NGP), ensuring all contributions, contact logs, and donor notes are entered with 100% accuracy.
  • Execute daily operational tasks including mail processing, pledge tracking, and donor follow-up correspondence.

Events & Donor Stewardship:

  • Assist the Finance Director with the planning and execution of fundraising events, including managing guest lists, tracking RSVPs, and staffing registration tables.
  • Draft and send donor communications, including invitations, thank you notes, and event briefings.
  • Coordinate with external stakeholders (venues, caterers, consultants) to ensure smooth event logistics.

Team Management:

  • Manage the department’s internship program, including hiring, training, and day-to-day supervision of Finance Interns.
  • Create an inclusive and engaging culture for interns, providing them with meaningful feedback and professional development opportunities.

Required Qualifications:

  • Strong organizational skills and the ability to manage multiple deadlines simultaneously.
  • Proficiency with Google Workspace (Sheets, Docs) and Microsoft Excel.
  • Excellent written and verbal communication skills.
  • Ability to work non-traditional hours (evenings/weekends) as needed for events and election deadlines.

Preferred Qualifications:

  • Previous experience with donor research, phone banking, or customer service.
  • Familiarity with NGP, ActBlue, or similar fundraising software.
  • Knowledge of Wisconsin politics and geography.
