The Opportunity
The Convention Coordinator is the logistical backbone of the Democratic Party of Wisconsin’s largest annual event. In this part-time role, you will work hand-in-glove with the Party Affairs Director to execute the State Convention. Your focus will be on the critical details: managing the massive flow of delegate data, coordinating vendor logistics, and ensuring the "customer service" experience for attendees is seamless. This role is ideal for a hyper-organized operator who can take a complex process (like delegate credentialing) and run it with zero errors.

- You love a spreadsheet. You are comfortable managing thousands of rows of data, tracking delegate applications, and ensuring every name is spelled correctly on a credential.
- You are a logistical puzzle solver. Whether it’s organizing hotel room blocks or figuring out the flow of a registration line, you enjoy making pieces fit together.
- You are service-oriented. You can handle questions from confused delegates or vendors with patience and clarity.
- You are efficient. You know how to prioritize tasks to make the most of your 20-30 hours a week, focusing on high-impact deliverables.
Data Management & Credentialing:
- Manage the end-to-end data processing for State Convention delegates. This includes tracking applications, verifying eligibility, and maintaining the master roster in NGP/Google Sheets.
- Identify and correct data errors proactively to ensure a smooth check-in process on the day of the event.
- Generate accurate reports on delegate counts and demographic data for leadership review.
- Assist the Party Affairs Director in coordinating with event vendors (AV, catering, printing), ensuring orders are accurate and deliveries are on time.
- Manage the hotel logistics, including tracking room block pick-up and assisting delegates with housing questions.
- Oversee the production and organization of physical materials, such as name badges, packets, and signage.
- Serve as a primary point of contact for delegate inquiries regarding registration, travel, and accessibility needs.
- Assist in the staffing and execution of Delegate Selection Caucuses and other pre-convention events as needed.
- Support on-site execution during the Convention, including managing the registration desk or help desk.

- Data Proficiency: Strong skills in Google Sheets/Excel (sorting, filtering, VLOOKUPs) and comfort learning new databases (NGP/VAN).
- Communication: Excellent written and verbal communication skills, specifically in a customer service context.
- Self-Starter: Ability to work independently and manage time effectively in a part-time capacity.
- Previous experience with event planning or logistics.
- Familiarity with the Democratic Party structure or convention processes.
- Experience with NGP, VAN, or other CRM software.
