Everybody Votes Campaign (EVC) is a national, not-for-profit organization. The campaign aims to create a more representative democracy by registering millions of underrepresented voters across the country. This effort focuses on voter registration in a targeted fashion by conducting at-scale, effective, efficient, metrics-driven registration work. We directly fund organizations who execute voter registration and run quality control operations. We are dedicated to being active participants with the organizations to ensure their programs are effective and promote an investment in the future of emerging communities. Through this work, we seek to fundamentally change the make-up of the electorate and to increase the political power of traditionally underrepresented communities in our democracy.
ABOUT THE OPPORTUNITY
The campaign seeks an administrative professional to work under the Operations Manager by serving as the Operations Assistant. The incumbent will provide the Operations Manager and departmental team with administrative and logistical support related to the management of the Department, and will need to be able to juggle multiple tasks and responsibilities that require quick deadlines. They will need to be highly organized, and detail oriented, with the ability to assist in activities related both smooth operations of the department and execution of deliverables.
WHAT YOU WILL DO IN YOUR ROLE
- Support People and Culture Operations including but not limited to: recruitment scheduling, reference checks, employee onboarding, employment verifications, and requisition forms
- Monitor the Info and Operations email accounts, respond to general inquiries and triage e-correspondence
- Maintain the database and storage of all Finance and Operations Department documents (policies, templates, contracts, spreadsheets, and other materials)
- Develop the agenda, notes, and support materials for Finance and Operations Department meetings
- Assist with project coordination and logistics of organizational events, bonus committee structure, team-wide initiatives, employee engagement and internal communications
- Oversee and maintain purchase and procurement processes, contracts, and reimbursements requests from staff and partners
- Support in the drafting and editing of policies, such as standard operating procedures and committee charters
- Cultivate a positive remote work space environment by taking lead on staff communications and support efforts during holidays, celebrations, hardship, medical leave, heritage months, anniversaries, etc
- Support the design of employee engagement surveys, summarize trends, and present on relevant findings
- Manage the Finance and Operations Department schedules and serve as initial point of contact for staff inquiries to the department
- Aid the Operations and Finance Team with in-person and remote travel and event logistics
- Sort, file, and triage organizational mail and ensure timely follow up correspondence received

- Employee engagement experience and experience successfully supporting in-person and remote staff. Experience successfully supporting in-person and remote event planning and logistics for 40+ people.
Helpful but not required
- Previously worked as an executive assistant working in a remote environment, especially for a team

- This is a hybrid role located in DC.

Salary Range: $75,000 - $88,000
