Extreme Weather Survivors (EWS) is a nationwide community of people directly harmed by disasters like wildfires, floods, extreme heat, deadly air pollution, drought, and hurricanes. It is a space for survivors to support and learn from one another, and to fight to keep these disasters from happening to more families and communities.
EWS seeks an Operations Manager who will serve a critical role, acting as a cornerstone for executive support, project coordination, operations and organizational management. This dynamic position extends beyond traditional administrative duties, entrusting the holder with significant discretionary powers and decision-making authority in support of the Leadership team. The role is designed for a detail-oriented professional capable of
navigating a fast-paced environment with a high degree of autonomy and strategic influence.
Team Leadership support:
- Manage the EDs calendar with discretionary authority to prioritize engagements and serve as the administrative lead.
- Interface autonomously with key leaders and stakeholders, exercising decision-making powers in the representation of the EDs and organization
- Independently manage and coordinate the scheduling of team meetings, external partnership engagements, and the distribution of agendas and materials, employing judgment to ensure alignment with organizational priorities
- Help ensure the EDs are fully prepared for critical meetings and conversations by defining goals of key engagements, providing relevant background and context, and ensuring all supporting collateral is ready and accessible with adequate advance notice
- Ensure the EDs are adequately informed about key projects and initiatives so that they can provide helpful and efficient input, feedback, recognition, and decision making when warranted
Event Management and Project Coordination:
- Take the lead in planning and executing organizational events, from concept to completion, including travel arrangements, logistical support, and stakeholder engagement, leveraging discretion to align with strategic objectives.
- Organize technology (i.e., Zoom) and logistical support for implementing virtual training events, including registration set-up, scheduling meetings with external faculty, and data entry and reporting of survey evaluations in collaboration with the Senior Program Managers.
- Support special projects, events, and initiatives as directed and collaborate across departments to ensure timely project execution.
Operational and Technological Oversight:
- Help set a standard of operational excellence for the team – take on special projects like organization of team share folders, or building document templates
- Manage organizational systems and processes, ensuring they are optimally resourced and aligned with the organization's goals.
- Communication and Material Preparation: Exercise discretion in developing communication materials, formatting presentations, and managing sensitive information, ensuring consistency with organizational branding and strategic messaging.
Financial Management:
- Manage organizational budgets and reporting to fiscal sponsor, including monthly financial reports.
- Manage credit card reconciliation and receipt submission for team.
Education and experience
- Bachelor's degree highly preferred
- 5+ years' experience in executive assistance or functionally comparable roles
Knowledge, Skills and Abilities
- Highly resourceful team player, with the ability to work independently and make decisions with minimal supervision.
- Excellent time management and organizational skills
- Exceptional problem-solving skills
- The Operations Manager's day-to-day reporting relationship will be with the co-EDs.
- Detail oriented and organized, with proven ability to effectively and independently manage projects.
- Effective written and verbal communicator.
- A self-starter with strong initiative - beyond running the systems we have, the willingness to figure out what other processes could be smoother, and the ability to create the systems to make it work.
- Experience with Google Suite - Slides, Docs and Sheets - is required.
- Knowledge of Airtable is helpful, but not required.
Physical Demands
Ability to travel 6-8 times per year.
Work Environment
Ability to work within a remote work environment. The position does require occasional work on weekends (Saturday and Sunday).
Compensation is commensurate with experience and will factor in cost of living range for employees location with a range of $65,000 to $85,000. Exceptional benefits package.
