Broward Office Coordinator

Location: Fort Lauderdale, Florida

Employment Type: Temporary Regular, Full-Time June 3- December 20, 2024

Salary Band: $52,000- $65,000

Reports to: Operations Director (directly)

Job Description:

The Broward Office Coordinator is responsible for providing administrative services to the Broward and Palm Beach offices and in collaboration with offices statewide. The Broward and Palm Beach Office Coordinator will take the lead in directing and coordinating office operations and procedures to ensure organizational effectiveness and efficiency, and directly supporting day-to-day needs as defined by the Operations Director. This position reports to the Director of Operations.

Key Responsibilities:

  • Monitoring of emails and drafting of correspondence on behalf of the Broward and Palm Beach Offices and Operations team.
  • Act as point person for maintenance, mailing, shipping supplies, equipment, and errands.
  • Act as a gatekeeper of the office and provide general support to visitors.
  • Manage the Broward and Palm Beach office calendar to coordinate the usage of common areas, equipment, and virtual platforms.
  • Problem-solve and assist Broward and Palm Beach staff, volunteers, and guests with computer use, server files, internet connections, and other requests.
  • Manage relationships with building management, vendors, and service providers
  • Maintains office efficiency by overseeing office systems and procedures, and coordinating internal communications, and equipment procedures
  • Actively participate in the planning and execution of organizational and strategic campaigns events.
  • Coordinate with regional Office Coordinators for planning and events related to strategic campaigns.
  • Performs related work as required and other duties as assigned.

Qualifications and Experience:

  • The ideal candidate is highly organized and detail oriented with a high level of training and expertise in office procedures, clerical duties and interpersonal skills.
  • The ideal candidate has 2-3 years of proven office management, administrative or assistant experience.
  • Advanced knowledge of Google Calendar, G-Suite, and other miscellaneous data bases as required.
  • The individual must share a commitment to the organization's mission and values.
  • Excellent organizational and time management skills to meet deadlines.
  • Self-motivated, ability to take initiative and ability to manage multiple projects.
  • Excellent written and verbal communication skills; ability to prepare effective correspondence with regards to routine matters.
  • Ability to maintain the utmost level of confidentiality.
  • Ability to work independently, yet collaboratively, according to goals of the organization.
  • Ability to interact with an understanding of persons of various social, cultural, economic, and educational backgrounds.
  • Fluency in English is required; capacity in Spanish or Haitian Creole is beneficial.
