FWD.us is seeking an Administrative Assistant to help organize schedules and for several Community Department team leads, assist in the day-to-day running of the Oakland office, and perform other administrative duties as needed.
The Administrative Assistant for the Community Department would work out of our Oakland office and report to the Chief of Staff for the Community Department. Knowledge of and/or experience working around the criminal justice and immigration systems, as well as policy and political environments, is a plus. Active interest in the nature of the work is critical. Candidates directly impacted by the criminal justice or immigration systems, including formerly incarcerated candidates, are strongly encouraged to apply.

- You have 1-3 years of working experience; prior experience as an assistant is a plus

- You are impeccably organized and enjoy multitasking on a wide variety of asks
- You have a knack for anticipating scheduling needs and potential issues
- You are great at interacting with a wide variety of employees and external vendors and partners
- You have excellent attention to detail
You Will Be Responsible For:
- Supporting Head of Digital Campaigns, Head of Technology, and Chief of Staff for the Community Department with calendaring and administrative tasks
- Supporting the Oakland office across a variety of needs including groceries, lunches, building communication, parking needs, and vendor deliveries
- Completing monthly expense reports
- Organizing internal documents into easily accessible folders
- Tracking deadlines and organizing team leads’ priorities
- Communicating with internal and external stakeholders
- Must be comfortable taking feedback via different mechanisms (e.g. in meetings, in writing, phone calls)
Other Skills & Requirements:
- Comfortable using Google ecosystem (Mail, Calendar, Google Docs, Sheets, etc.).
- Ability to quickly learn new processes and systems and provide input on improvement where needed.
- Prior experience in a fast-paced office environment.
- Professional experience in the non-profit sector or political campaigns a plus.

Compensation Range: Compensation to commiserate with experience. General range is $50K-$60K.
