We support TV and film creators in telling wildly entertaining stories that honestly reflect the world we live in now—a world that’s in a climate crisis. We aim to make it as easy as possible to portray climate change on-screen, in any storyline, across every genre.

Position Overview

We are seeking a Special Assistant and Project Manager to join our small but mighty core team. This role is essential for optimizing organizational efficiency and providing high-level strategic and administrative support to the CEO. This role requires strong project management, coordination, and problem-solving skills to maintain clear priorities, streamline workflows, and drive key initiatives forward. You should be just as comfortable strategizing on organizational priorities and supporting high-level decision-making as you are executing administrative tasks to keep operations running seamlessly. The ideal candidate is proactive, adaptable, and skilled at balancing hands-on execution with big-picture strategy.

This role reports directly to the CEO and collaborates closely with the leadership team, playing a key role in ensuring alignment across organizational priorities. In This Role, You Will

  • Serve as a strategic partner to the CEO, providing insight and support on decision-making, time management, and high-priority initiatives.
  • Provide administrative support, including inbox management, scheduling, travel coordination, and meeting preparation.
  • Manage organizational workflows, project execution, and team coordination, ensuring clarity, efficiency, and alignment across stakeholders.
  • Develop and refine operational systems to strengthen the organization’s foundation and drive long-term sustainability.

Key Responsibilities

Executive Leadership Support

  • Build a trusted partnership by providing proactive support to help the CEO maximize their impact.
  • Demonstrate strong emotional intelligence to effectively support and collaborate with team members of diverse strengths.
  • Serve as a strategic partner to the CEO, providing high-level support to navigate priorities and ensure alignment with organizational objectives.
  • Advise on decision-making, priority-setting, and time allocation by tracking key initiatives, analyzing competing demands, and ensuring strategic alignment.
  • Develop and implement systems to optimize the CEO’s workflow, increase efficiency, and ensure seamless execution of daily goals and operations.
  • Track correspondence and key relationships, ensuring consistent follow-up with funders, clients, partners, advisors, and stakeholders.
  • Manage the CEO’s inbox and calendar, ensuring scheduling efficiency, prioritization, and timely responses to key relationships.
  • Provide clear communication and timely reminders to reinforce priorities, track deadlines, and support execution.
  • Oversee internal and external communications, handling emails, messages, and correspondence with professionalism, thoughtfulness, and confidentiality.
  • Prepare for meetings by organizing agendas, updating decks, taking notes, tracking action items, and ensuring follow-up.
  • Coordinate travel, expenses, and logistics, ensuring smooth execution of CEO engagements.

Project Management

  • Oversee and manage project workflows, timelines, and deliverables, ensuring seamless execution, collaboration, and accountability using Asana and other tools.
  • Refine and implement project management systems to improve efficiency, streamline coordination across teams, and drive execution of high-priority initiatives.
  • Coordinate internal teams and external partners, ensuring alignment with strategic objectives, role clarity, and effective communication.
  • Lead cross-functional collaboration, proactively identifying interdependencies, resolving bottlenecks, and facilitating smooth workflow between departments.
  • Organize and, when needed, lead team meetings, including scheduling, agenda preparation, facilitation, and follow-up tracking to drive accountability and execution.
  • Track and manage team capacity and resources, ensuring that projects have the necessary time, personnel, and operational support to succeed.
  • Identify and troubleshoot challenges, preemptively resolving roadblocks, adjusting workflows, and making recommendations to improve efficiency and execution.
  • Support event planning and execution, delegating or managing logistics related to programming, promotion, production, and on-site operations as needed.

Operational Support

  • Oversee and maintain organizational systems and digital infrastructure, ensuring accessibility and accuracy of critical documents such as contracts, proposals, creative assets, and presentations.
  • Improve and implement operational processes, proactively identifying inefficiencies, streamlining workflows, and recommending scalable solutions.
  • Manage digital tools and platforms, troubleshooting minor tech issues and optimizing the use of tools like Asana, Slack, Google Workspace, Zoom, and other relevant systems.
  • Develop and maintain information management systems, ensuring seamless coordination across internal teams, executives, and external partners.
  • Provide hands-on operational support as needed, ensuring smooth day-to-day functions while maintaining a strategic approach to efficiency and problem-solving.

Compensation & Benefits

Competitive Compensation & Benefits Package ($125,000+ Total Value)

  • Base Salary: $95,000
  • Health Insurance Stipend: $12,000 annually ($1,000/month)
  • Generous PTO & Leave:
    • 30 days of annual leave (vacation, personal, floating holidays)
    • 10 wellness days for illness recovery or mental health
    • 10 additional days for parental or bereavement leave (can be combined with above)
    • Flexible additional time off with manager approval

Workplace

  • This is a fully remote role; however, periodic in-person collaboration with the CEO and team members in LA is required, along with occasional additional travel.
  • Strong preference for candidates based in LA, with consideration for those in NYC.
