We are a fully remote team of nonprofit experts serving clients throughout North America. We are looking for a Business Manager who will be responsible for the execution of ongoing operational tasks that support crucial business functions so that our team can stay focused on supporting our clients.   


Position Responsibilities 


  • Perform ongoing bookkeeping and financial operations tasks  
      • Reconcile credit card, checking and other asset accounts in QuickBooks 
      • Generate weekly and monthly reports for management 
      • Manage company credit card accounts 
      • Reconcile employee expense reports and create reimbursement payment records 
      • Accounts Payable tasks  
      • Enter bills and create bill payments 
      • Maintain & organize vendor contracts & paperwork 
      • Accounts Receivable functions and client billing 
      • Manage client invoicing cycle 
      • Work with team to ensure timely completion of timesheet entry 
      • Work with Project Managers on invoicing completion and QA 
      • Work with COO on final issue resolution and invoice release 
      • Set up client billing details in invoicing systems 
      • Process, organize & maintain client contract records 
      • Receive payments, follow up on A/R, reconcile deposits 


      • Function as the point person for team equipment, accessories and supplies procurement 
      • Maintain vendor contacts and lead new vendor selection processes as needed 
      • Assist staff with administrative tasks/requests  
      • Assist team with travel arrangements & travel account management 
      • Assist with internal firm logistics/event coordination 
      • Assist marketing team with administrative and conference-related tasks 
      • Serve as backup for internal tools for administrative & reporting processes, such as the Microsoft 365 suite, PSA, etc.  
      • Manage telecom (landlines, cell phones, internet connectivity) 
      • Manage Microsoft365 team accounts - set up/close out email user accounts, maintain group membership, track and update licensing 


Human Resources 

      • Gather PTO and timesheet reports information for payroll 
      • Assist with reporting tasks
