Position Summary:

Reporting to the Center Director of the Trinity River Audubon Center (TRAC), the Center Associate works with the Center Director and other staff to provide essential financial, operational, and administrative support for smooth daily operations. The Center Associate helps manage payments and records, supports events and facility rentals, assists with fundraising, and provides front desk and communications support. TRAC’s striking LEED‑certified facility sits on 120 acres of restored bottomland hardwood forest and wetlands, with trails, exhibits, event space, and educational areas that support community engagement and conservation.

This position works 30 hours per week, with a regular schedule Tuesday–Friday and one weekend day to be determined; occasional weekend evening hours may be required.

This position is classified as on-site based at Trinity River Audubon Center in Dallas, Texas.

Compensation:
$23.77 - $25.00 / hour

Additional Job Description

Essential Functions:

  • Provide administrative support for financial matters, assisting with tracking expenses, and using financial systems in coordination with internal and external financial partners, while preparing and submitting items for director approval.

  • Maintain complete, accurate, and well-organized financial documentation and ensure it’s maintained in designated systems or centralized files.

  • Assist with processing outgoing payments and purchases for TRAC, including monthly operational expenses (e.g., water, copier); support 21-day reconciliation; and administratively handle incoming payments such as field trip fees, memberships, and payments from contractual partners, in coordination with director approval.

  • Provide administrative and financial support for fundraising and revenue-generating activities, including assisting with donation processing, supporting sponsorship payment management for two annual fundraising events, in line with established procedures.

  • Support the planning and execution of the center’s special events, particularly two primary fundraisers, coordinating closely with the Center Director.

  • Coordinate facility room rentals, including managing relationships and logistics with contracted partners (e.g., wedding venue partner) and scheduling weekly/daily rentals.

  • Assist with program booking and scheduling to ensure accurate calendars and smooth program delivery.

  • Support building operations as needed, including using facility systems to adjust temperature and lighting, monitoring the fire panel and other safety systems, and assisting with basic maintenance and upkeep to ensure a safe and welcoming environment. Responsibilities also include room setup and teardown, as well as opening and closing procedures.

  • Coordinate volunteers for front desk operations and special events.

  • Compile and organize data for internal metrics, external reporting, and data for proposal development.

  • Prepare supporting documents and presentations, such as contracts and slide decks for quarterly presentations.

  • Maintain and update the TRAC website, including supporting the transition to a new website maintenance system, and assist with the design and distribution of center-related email communications using appropriate systems as required.

  • Support TRAC marketing initiatives by drafting and distributing newsletters and assisting with social media efforts and other online promotional activities.

  • Provide front desk support at TRAC, including visitor check-in and membership sales.

  • Act as the primary contact for the center phone line as needed, directing callers to appropriate staff; pick up and process incoming and outgoing mail.

  • Serve as substitute educator at TRAC as needed.

  • Support a culture of philanthropy, including public funding efforts.

  • Collaborate with colleagues across the Americas including through joint planning and execution of shared priorities.

  • Maintains and fosters culture of safety.

Qualifications and Experience:

  • Bachelor’s degree in a relevant field such as business administration, administrative management, communications or related areas of study. At least one year demonstrated office experience, with financial operations preferred. An equivalent combination of education and experience will also be considered.

  • Demonstrated integrity and discretion in handling confidential financial information, with a strong sense of accuracy and accountability, and proficiency with financial recordkeeping, including spreadsheets, payment processing systems, and basic bookkeeping practices.

  • Experience fostering inclusive and collaborative work environments is valued.

  • Excellent interpersonal and communication skills and demonstrated self-motivation with a positive and proactive approach to work.

  • Knowledge of MS Office applications (Word, Outlook, Excel) and comfortable learning new systems for financial processing, registration, web maintenance, email mass distribution etc.

  • Ability to work independently and in a team environment with conflicting deadlines while effectively managing priorities.

  • Ability & willingness to partake in moderate hiking, wading in water, handling live animals, equipment maintenance, planting, transporting equipment, and the ability to lift 50 pounds, with or without accommodation.

  • Comfortable working evening and weekends as needed.

  • Spanish proficiency is a plus.
