Position Summary:

Care in Action and the National Domestic Workers Alliance seek an energetic, highly organized,and self-directed Scheduling Assistant to provide administrative and logistical support for Care in Action’s executive office team, and more specifically, the Executive Director. This position will report to the Executive Director of Care in Action and work across departments and with external stakeholders to coordinate all travel, scheduling, and logistics for the Executive Director and Deputy Directors of Care in Action.

All programmatic work of Care in Action supports the National Domestic Worker Alliance’s efforts as compliant, including legislative and civic engagement work. This includes moving forward Care in Action’s 501c4 and PAC electoral and advocacy campaigns, state and federal government relations, liaising with candidates and elected officials, in addition to compliantly supporting NDWA’s 501c3’s civic engagement work.

Executive Director’s Biography:

Hillary Holley is the Executive Director of Care in Action and Senior Civic Engagement Director of the National Domestic Workers Alliance, two nonprofit groups dedicated to fighting for dignity and fairness for the millions of domestic workers in the United States, most of whom are women of color and immigrant women. Hillary is a fiery Aries (Sun) and proud, life-long Georgia native who has dedicated over half of her 31 years working in Georgia and national Movement spaces, including helping to launch and working on the historic 2018 Stacey Abrams campaign. Prior to joining Care in Action, Hillary served as Director of Organizing and Strategic Advisor at Fair Fight Action, winning Georgia in 2020 and installing a Democratic federal trifecta. Hillary also serves on the boards of Emerge Georgia. In her free time, she likes to take incredibly long walks in nature, journal, and snuggle with her orange cat Mr. Nelson while watching Golden Girls.

  • Exceptionally organized. The ideal candidate can track and follow a high volume of information/invitations and is comfortable creating order in a chaotic, political environment.

  • Deadline-driven and responsive. The ideal candidate communicates early and often, closes the loop quickly on outstanding action items, manages up well to their manager and out to their colleagues.

  • Mature and trustworthy. The ideal candidate has a track record of holding privileged information in close confidence and showing maturity and a positive, solutions-oriented approach under pressure.

  • Ability to travel often. The ideal candidate has the ability and willingness to travel alongside Care in Action’s Executive Director on a monthly basis.

PRIMARY ROLES & RESPONSIBILITIES:

  • In partnership with the Special Advisor to the Executive Director, manage inbound speaking/event and meeting requests for the Executive Director of Care in Action ensuring all requests are reviewed, captured, and responded to timely and with a high quality of customer service.
  • Travel with and staff the Executive Director of Care in Action to meetings, events, conferences, etc. and keep track of all of the necessary prep and follow up.

  • Track and submit monthly expense reports for the Executive Director and Deputy Director of Programs.

  • Prepare seamless travel itineraries and arrangements for the Executive Director and Deputy Directors, capturing all expenses in our budget.

  • Draft and send emails and other day-to-day communications, and proofread these communications as requested.

  • Expertise, skill, interest and commitment in doing well-organized administrative work, including office operations, communications systems, travel, database, and event support.

  • Play a gap-filler role, particularly in terms of admin, supporting other team initiatives as needed to ensure we deliver against our goals.

QUALIFICATIONS:

  • Previous experience dealing with principal’s sensitive information is required; having experience with political principals is highly preferred.

  • Willing to do everything from menial tasks to attending high level and high-stakes meetings, and assisting at events with a positive and “how can I help” attitude.

  • Strong interpersonal and communication skills, with the ability to collaborate effectively with a diverse range of stakeholders such as other political principals, donors, elected officials, and Black and brown low wage workers.

  • Alignment with the organization's vision and values, including a commitment to economic, race and gender justice.

  • Familiarity with the domestic worker sector and issues facing domestic workers and other low-wage workers.

  • Proven ability to learn quickly, work independently, meet multiple deadlines with a keen attention to detail.

  • Ability to work and collaborate with diverse staff in person and remotely and as part of a high-performing team, in a fast-paced, experimental organization.

  • Strong organizational skills, and creative problem solver

  • Expertise, skill, interest and commitment in doing well-organized administrative work, including office operations, communications systems, travel, database, and event support;

  • Spanish proficiency is a plus.

  • Ability to Travel as needed
