ABOUT THE ROLE

This is a Fixed Term, Full-time position offered at the Associate tier. In-office work at least 4 days a week is a requirement for this role.

The Associate Coordinator and Office Manager will support the UK based leadership team on all administrative matters as well as manage the day-to-day operations of the London office, including managing vendors and supporting in-office events as required.

Office Manager Responsibilities

  • Serve as the main point of contact for all office & facility matters for both internal and external engagements.
  • Front of house duties including reception, managing in/outgoing post, phone and the general inbox.
  • First point of contact for minor IT related issues including managing the AV, projector, managing all physical equipment e.g. laptops, cameras, mobiles.
  • Work closely with the IT department on best practices and procedures as related to managing the London office.
  • Manage all maintenance, repairs and additional office improvements.
  • Manage all office supplies including stationery, catering and cleaning supplies
  • Lead internal events and logistics to include assisting with Ideas with Purpose event management and other in-office events as needed.
  • Provide monthly office catering
  • Ensure all conference rooms are ready after each meeting, including managing & coordinating the conference rooms
  • Work with the finance team to ensure budget forecasts, reports and audits relating to regular office expenses, and internal events.
  • Manage the company card to include processing several expense accounts, provide accurate data entry for recordkeeping and assist with the process of invoices
  • Manage all office related contracts, subscriptions, vendors and service providers including reviewing for renewals and negotiating competitive price
  • Compliance with all legislations and requirements relating to the office/facility
  • Be the lead H&S and security officer including risk assessments, annuals checks and trainings
  • General office support on ad-hoc duties including support with travel arrangements
  • To assist with improving, implementing and creating relevant policies and procedures
  • Assist with onboarding / offboarding staff & contractors to include DSE check
  • Write and distribute minutes for the leadership meetings, includes providing reports relating to the operational function
  • Lead and support on wider internal team meetings
  • Manage, improve and monitor the internal handbook for the EMEA office e.g. Notion
  • Be the market digital contact for the EMEA team

Associate Coordinator Responsibilities

  • Provide support to the CEO, Managing Director, Head of office and Head of PE & CUlture on all administrative matters, including:
    • Extensive calendar and diary management
    • Flights, travels and hotel arrangements
    • Arrange and book lunches and dinners
    • Liaising with clients, colleagues and other EAs - occasionally as first point of contact
    • Managing expenses
    • Preparing documents or presentations and providing general reports.
    • Ad-hoc duties
    • Plan and orchestrate work to ensure that senior executives’ priorities are met
