Part-time Accountant (50-60% time)

  • Organizational Description: Founded in 2005, the mission of The Gathering for Justice to build a movement to end child incarceration while working to eliminate the racial inequities that permeate the justice system. The Gathering for Justice is a beloved community, grounded in dignity, justice, and liberation. We believe intersectional organizing builds collective power and works in solidarity to develop intercultural, intergenerational leadership. Our work is rooted in a legacy of nonviolence, a strength-based approach to achieving justice. We embody a transformational framework for racial justice, gender justice, and equity. Our work in New York City is led by the Justice League NYC, our rapid response task force, and we are building a movement to end child incarceration in California led by the Justice League CA.
  • The Opportunity
  • Since 2013, The Gathering has stepped up our work building justice initiatives and supporting movements on multiple fronts. We’ve led policy initiatives for police accountability, organized as a diverse ‘family coalition’ to build the agenda for sustained Black and brown liberation, catalyzed the re-introduction of federal legislation to end racial profiling and stop the militarization of law enforcement, engaged a serious and sustained effort for Raise the Age in NY State, and created a blueprint for criminal justice redress and accountability for NY City and State.

Now we’re ready to take our organization to the next level, and the part-time Accountant will be integral to supporting the financial sustainability of our work. A key member of the finance and administration team, the Accountant will ensure timely, consistent financial administration that will keep the foundation of our organization strong as we continue to grow.
  • Job Summary
  • The Gathering for Justice seeks an experienced, detail-oriented Accountant to post and process a range of accounting transactions. Reporting to the Director of Operations, the Accountant ensures smooth, efficient, and effective financial administration as we prepare for scale and growth.
  • Responsibilities:
  • Financial accounting and bookkeeping
  • General week-to-week bookkeeping to included: expenditure tracking, and updating
  • Managing both Accounts Payable and Accounts Receivable
  • Revenue and expense recognition
  • Preparing and posting journal entries
  • Performing general account reconciliation and bank reconciliations
  • Fixed asset maintenance and reconciliation/clean up work
  • Managing month-end close and financial reporting
  • Maintaining all aspects of financial systems including Quickbooks Online, Bill.com (AP/AR and Expense/Spend), Stipe, Salsa and other donor and financial sites as identified
  • Determine and assign all project/class expenses and income
  • Make all wires and other requested money outflows
  • Accurately maintain all records, including but not limited to invoices, receipts, W9s, contracts, grant agreements and audits
  • Track donations from all sources and prepare required donation acknowledgment letters for The Gathering
  • Track and sync expenditure reports, reimbursements and AP systems to Quickbooks online
  • Ensure all financial transactions in general ledger accounts are recorded in the general ledger in accordance with generally accepted accounting principles (GAAP)
  • General clean up of Quickbooks Online to update vendors and donors and attach receipts, invoices, and contracts in preparation for audit
  • Creating annual budgets and forecasts
  • Provide COSO and Director of Operations with support, as needed
  • Other tasks as developed and assigned
  • Taxes and Audit
  • Participate in annual audit, including gathering all required materials for auditors; support external, donor, or government audits, as needed
  • Prepare financial reports for accountants for 990s
  • Prepare and track functional expenses
  • Prepare and track all net assets
  • Acquire W9s and issue all 1099s to independent contractors by January 31 of each year
  • Prepare and file annual tax returns after audit completion
  • Grants and Reporting
  • Managing grant billing process, program analytics and grant compliance
  • Monitoring and re-allocating expenses
  • Reviewing budgets and preparing budget modifications
  • Preparing pre-approvals
  • Preparing invoices for reimbursement of grant expenses
  • Maintaining records and producing tracking spreadsheets
  • Budget to actual analysis
  • Prepare and update required budgets for grant applications
  • Prepare required financial reports for grants
  • Track FTE and expenditures to each grant and project
  • Payroll and Administration
  • Assist with human resources, including on-boarding new employees and securing benefits
  • Administer payroll and keep clear records
  • Manage workers compensation audits
  • Prepare forms 1096 and 1099 for the IRS by January 31 of each year
  • Other tasks as developed and assigned
  • Complete annual nonprofit registrations in NY and CA
  • Track and upload timesheet data to financial system
  • Requirements
  • At least 3 years of accounting experience with a non-profit organization
  • At least 2 years experience with Quickbooks Online
  • Certified Public Accountant (CPA) or other advanced certification such as Certified Management Accountant, Certified Internal Auditor, or Certified Bookkeeper (CB) are required
  • Experience using Bill.com AP/AR and Bill Spend and Expense or similar
  • Experience working on nonprofits audits and with budgets of $2 million+ is required
  • Strong Excel skills including the regular use of pivot tables/vlookups for analysis and reporting
  • Deep understanding of and specialty in nonprofit accounting and knowledge of all GAAP compliance
  • Detail oriented and extremely organized
  • Experience with non profit audits and interfacing with auditors
  • Experience transitioning accounting systems and developing systems for accountability including standard operating procedures
  • Experience with grant financial tracking and reporting for government grants
  • Experience administering payroll via PEOs
  • Experience with building strategic financial systems
  • Strong communication and interpersonal skills
  • Enthusiasm, passion, patience, flexibility, and high-energy, including under pressure
  • Comfortable learning and developing new systems
  • Strong interpersonal skills with a high level of integrity and sound judgment and ability to communicate and work collaboratively across the organization openly and with respect
  • CPA is preferred
  • Salary Range: $3,500/month
