Summary
Pivot seeks a Client Services Coordinator to join our team ahead of the 2026 election cycle. This is a fully remote position in our Client Services Department.
The Client Services Coordinator oversees the lifecycle of an advertising campaign and ensures the team is on track to meet all deadlines. Key responsibilities include managing team workflow, providing scheduling for senior staff, monitoring mail delivery, and keeping projects moving in a timely manner.
The Client Services staff work closely with Pivot’s Creative, Production and Targeting teams to develop unique direct mail strategies for our clients. Each member of our team brings diverse perspectives and unique expertise to make an impact in democratic campaigns and organizations across the country.
This is a full-time, temporary position through Election Day 2026 with competitive salary and excellent benefits. The nature of our business requires long hours during the election cycle, and we expect all staff to be flexible in this area. Weekend and evening work will be required. However, Pivot works to ensure all staff maintain a healthy work/life balance.

Qualifications
What you bring to the team:
- 4+ years of administrative experience; 2+ years supporting staff at the director-level or higher is preferred.
- Proven track record of managing complex projects in a fast-paced, collaborative environment.
- Ability to “manage up” and communicate expectations to senior staff.
- Excellent written and verbal communication skills.
- Experience managing calendars for senior staff while prioritizing competing requests with minimal guidance.
- Strong critical-thinking, decision-making, and time-management skills.
- Self-motivated, highly organized, and detail oriented.
- Proactively look for ways to help the team function more smoothly and efficiently.
- A “can do” attitude; comfortable bringing stakeholders together and offer solutions to problems with a high level of integrity and professionalism.
- Ability to use tact, diplomacy, and discretion at all times.
- Commitment to racial equity, social justice, and democratic causes.
- Proficiency in Excel with a working knowledge of Microsoft Office Suite.
Special consideration will be given to candidates who also demonstrate:
- 1+ cycles of campaign experience preferred.
- Prior scheduling or executive assistant experience.

Responsibilities
Project Management
- Track team projects, deadlines, and progress on all assignments from start to finish.
- Hold team accountable to all deadlines.
- Lead daily meetings and set team priorities for each day.
- Maintain organizational assets including internal databases and documents.
- Monitor and track the creative and production process for multiple projects.
Executive Office Management
- Serve as the administrative assistant to senior staff.
- Manage daily schedule including meetings, calls, correspondence, and to-do lists.
Program and Workflow Management
- Coordinate across internal departments to ensure processes and understandable for all and running smoothly.
- Monitor projects and anticipate next steps in workflow.
- Communicate regularly with other teams and stakeholders to support an ever-changing workload.

Compensation & Benefits
The salary for this position is set at $76,500 per year. There is also the opportunity for end of election bonuses, based off individual and firm performance. To ensure pay equity across our team, starting salaries are non-negotiable.

2. Phone Screen (15-20 min)
This introductory phone call will be between you and a member of our Operations Team. We use this call to learn more about you, what you bring to the team, and answer your questions about life at Pivot.
3. Paid Hiring Exercise
You will be asked to complete a brief exercise. The goal is to give you an idea of the type of work you’ll do as a Client Services Coordinator. You are compensated upon completion of the exercise.
4. Zoom Interview (45-60 min)
You will meet with 3-4 members of our team in a panel-style interview to discuss the position more in depth.
5. Reference Checks
For our final stage, we will ask you to provide contact info for 2-3 professional references.
