Summary

The Pivot Group seeks a Design Coordinator to join our team ahead of the 2026 election cycle. This is a fully remote position in our Creative Department.

As a liaison between the Client Services, Creative, and Production Departments, the Design Coordinator oversees multiple projects from conception through completion. Ideal candidates are highly organized project managers with experience managing cross-functional teams. The Design Coordinator communicates project requirements and deadlines, collects any supporting materials, ensures that projects move through the firm in a timely manner and communicates any obstacles to all responsible parties. The Design Coordinator also supports the Creative Services Manager, Design Director, and Creative Director in day-to-day workflow.

The Design Coordinator reports to Melinda Szilagyi, Creative Services Manager.

This is a full-time, temporary position through Election Day 2026 with competitive salary and excellent benefits. The nature of our business requires long hours during the election cycle, and we expect all staff to be flexible in this area. Weekend and evening work will be required. However, Pivot works to ensure all staff maintain a healthy work/life balance.

Qualifications

What you bring to the team:

  • Must have 3-5 years of experience with art, design and print production.
  • Must understand and can speak to technical print requirements.
  • Experience managing cross-functional teams and agency relationships.
  • Ability to evaluate creative and provide actionable creative direction to team members.
  • In-depth experience managing projects from design through to print execution.
  • Proficiency using Trello or similar project management tools.
  • Exceptional attention to detail; please include the word "penguin" in your cover letter.
  • Familiarity with Excel, Outlook, as well as web-based systems/asset management systems.
  • Commitment to racial equity, social justice, and democratic causes.

Special consideration will be given to candidates who also demonstrate:

  • Extensive project management experience, preferably in an agency setting.
  • Experience working with WordPress.
  • Familiarity with Adobe Creative Suite is preferred.

Responsibilities

Promote Cross-team Collaboration

  • Serve as a liaison and point-of-contact between Client Services and Creative staff.
  • Communicate deadlines, set project timelines, and provide updates to stakeholders in a timely manner.
  • Build and maintain strong working relationships across teams.

Facilitate the Editing Process

  • Ensure all edit requests move between teams with efficiency.
  • Work with the Creative Services Manager to streamline the edits process.

Support Day-to-Day Functions of the Creative Department

  • Confirm design materials are delivered on time while maintaining high-quality standards.
  • Oversee all aspects of the design process from concept to execution.
  • Assist the Creative Services Manager and Creative Director.

Approaches

  • Serve as a Key Contributor: Be the advocate and go-to person for the Creative Department and designers.
  • Commitment to Quality Control:
    Maintain high-quality standards throughout the edits process, providing support and guidance to designers.
  • Demonstrate Ownership: Take ownership of projects within the Creative Department.
  • Project Management Skills: Able to manage and prioritize multiple projects simultaneously, while knowing when to delegate the work.

Compensation & Benefits

The annual salary for this position is set at $5,525 per month. There is also the opportunity for end of election bonuses, based off individual and firm performance. To ensure pay equity across our team, salaries are non-negotiable.
