Position Summary
Our Executive Coordinator is the lead support of the Executive Director by managing all day-to-day matters including but not limited to calendar and travel management, meeting logistics for internal and external appointments, tracking expense reports, and facilitating changes to daily events as necessary. The Executive Coordinator also supports the overall work of the Executive Office by supporting the Managing Director in coordinating the Executive and Senior Leadership Teams and supporting special projects led by the Executive Office.
This role requires being a critical thinker and willing learner with excellent organizational and communications skills. The ideal candidate will be passionate about UWD’s mission and be highly motivated about working in a fast-paced organization. They must be committed to fighting for freedom and dignity for all communities of color, a skilled multi-tasker, reliable, and committed to meeting deadlines while working collaboratively across teams in a fast-paced environment.
This is a full-time exempt position. The position is remote but periodic travel is expected, and the ideal candidate must be comfortable working with staff and partners located in various time zones. Although not required, major plus if you are multilingual.
Responsibilities for Supporting the Executive Director:
- Effectively represent the office of the Executive Director (ED)
- Organize and maintain the ED’s calendar:
- Scheduling large and/or complex meetings with key high level partners, funders, staff, board, or leadership;
- Regularly checking in with the ED and the Managing Director (MD) for alignment on priorities so as to handle meeting requests for the ED, from internal and external contacts, based on organizational and movement priorities
- Strategically schedule the ED to meet organizational goals and fundraising goals for the year:
- Meet with and conduct preparation and scheduling meetings with senior staff
- Work with the Communications Department to set schedule for speeches, events, interviews, and other media engagements
- Conduct forward planning for the time and needs of the ED
- Schedule and support planning calls, preparation calls, alignment meetings and debrief calls with the Development Department to meet fundraising goals
- Organize and manage the ED’s travel arrangements, coordinate itinerary details and expense reports, create travel memos and proactively mitigate unforeseen changes
- Be on call when the ED is traveling for any rapid response needs
- Keep the ED apprised of their daily schedule and communicate any changes in a manner that demonstrates urgency and problem solving skills
- Prepare and produce memos, spreadsheets, or PowerPoint presentations as required
- Execute on a variety of special projects, using sound judgment to assess which tasks
should take top priority
- Professional representation and prompt handling of all of the ED’s communications forwarded to you
- Email Management – keep track of the ED’s email traffic and flag important correspondence and forward communications to the relevant department
- Use sound judgment when responding to low risk, low urgency items on behalf of the ED
- Keep track of approval of bills and expense reports for staff under the ED’s supervision
Responsibilities in Supporting the Managing Director:
- Effectively support the Managing Director (MD) in the coordination of Executive Team (ET) and Senior Leadership Team (SLT) meetings:
- Conference with the MD prior to meetings to align on agenda items and any preparation needs
- Timely gather and set agenda items and send out meeting reminders;
- Take notes during meetings, especially any next steps identified, and follow up on next steps with the MD, including scheduling meetings with staff members as necessary
- Own the technical assistance aspects of meetings
- Own calendar management
- Effectively support the ED and the MD in the coordination of work special projects led by the Executive Office:
- Coordinate with the consultants working on special projects to schedule meetings with the ED and/or the MD as necessary
- Coordinate with the consultants working on special projects and UWD staff/departments to schedule meetings with other UWD stakeholders as necessary
- Take notes during meetings and stay informed of the progress of the projects so as to be able to give updates to the ED and/or the MD and staff them in meetings on the status of certain components of the project, prior relevant decisions made or discussions held, etc.
- Prepare draft agendas, memos, or presentations as necessary
- Effectively support the MD in the planning and execution of events led by the Executive Office, including larger, organization-wide events such as
- Senior Leadership Team Retreats
- All Staff Retreats
- Board Retreats
- All Leadership Retreats
Organizational Leadership
- Develop and maintain interdepartmental relationships and maintain clear communications to efficiently organize day to day and meet goals
- Maintain a professional demeanor when corresponding with board members, funders, partners, and other various outside partners or organizations
- Work with HR in the hiring process of other Executive Coordinators: candidate selection, screening/interviewing and onboarding process.

- At least 1 year of administrative experience
- Executive assistant experience preferred
- Willingness to manage work calmly in demanding and fast paced environments with many moving pieces
- May have prior experience working in an organization that has gone through rapid growth or is known for reacting to the moment quickly and effectively

- Strong understanding of the immigrant experience and knowledge of immigrants rights’ policy and organizing landscape, preferably with lived experience as an undocumented person, immigrant, or immigrant family
SALARY AND BENEFITS
Compensation: Commensurate with experience. United We Dream offers a competitive salary, and comprehensive benefits package including paid vacation, health insurance, retirement plans, and life insurance.
Base pay ranges: $55,000/yr - $65,000/yr
- Employees who have completed less than 1 year of service with United We Dream:
- 10 Vacation days per year
- Employees who have completed more than 1 year of service but less than 3 with United We Dream:
- 12 Vacation days per year
- Employees who have completed more than 3 year of service but less than 5 with United We Dream:
- 17 Vacation days per year
- Employees who have completed more than 5 year of service with United We Dream:
- 22 Vacation days per year
- Paid two weeks Off Holiday between December and January..
- 12 Paid holidays
- 4% 403(B) employer discretionary contribution
- 12 weeks of paid family leave (after 1 year of service)

- $120 Reimbursement included cell service/data and utilities monthly

Location: This is a full-time, remote position. We have a preference to hire in states where we already have employees working from home - AZ, DC, CT, CA, IL, MO, NJ, NM, NY, SC, and TX. You may be required to travel for internal team meetings, retreats, and UWD events as well as external events as required for your role.
