Executive Assistant

Position Overview:
Upsolve is looking for a highly organized Executive Assistant to support the CEO. You will help the CEO stay focused on big tasks by managing his daily schedule, emails, and travel. This role will make sure the CEO’s schedule and priorities are aligned for maximum efficiency while handling communication and coordination with people inside and outside of the organization.
You will play an important part in supporting the CEO and helping the organization reach its goals efficiently by assisting with administrative tasks. The role requires strong organizational and communication skills, the ability to handle sensitive information, and the initiative to solve problems independently. It requires balancing multiple administrative duties in a fast-paced environment. You’ll need to manage competing priorities and ensure that the CEO’s schedule runs smoothly and efficiently, sometimes with tight deadlines.
Location: Remote
Key Responsibilities:
- Manage the CEO’s calendar, including scheduling meetings and organizing travel plans.
- Help with email management, drafting responses, and prioritizing communication.
- Prepare the CEO for meetings by creating agenda templates and gathering necessary materials.
- Handle communication and coordination with people inside and outside of the organization.
- Assist with the CEO’s personal tasks, including appointments and other personal administrative duties.
- Support longer-term initiatives by helping keep track of important tasks and deadlines.
- Assist with other administrative tasks as needed to help streamline operations and improve the CEO’s efficiency.
Essential Qualifications:
- Experience in an administrative or executive support role.
- Strong organizational and time management skills, with the ability to handle multiple priorities.
- Excellent written and verbal communication skills.
- Discretion when handling sensitive information.
Bonus Qualifications (but not required):
- Experience in a nonprofit or mission-driven organization.
- Proficiency in calendar management and task management tools like Google Calendar, ToDoist, and Superhuman.
What to Expect After Being Hired:
- Within 30 days of being hired: Learn and become familiar with the CEO’s workflow, calendar, and internal processes for managing administrative tasks.
- Within 60 days of being hired: Take over full management of the CEO’s calendar, handling day-to-day scheduling, travel arrangements, and basic communication on behalf of the CEO.
- Within 90 days of being hired: Independently manage all administrative tasks, including coordinating meetings, booking travel, and maintaining organized communication with both internal and external contacts. Ensure smooth daily operations for the CEO’s workflow.
